Aris Detect is an Australian software-as-a-service platform that enables roof inspectors to upload property images, analyse them with AI, and generate detailed inspection reports. We are committed to protecting your personal information and handling it in a transparent manner, in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). This Privacy Policy explains how we collect, use, disclose, and manage your personal information when you use the Aris Detect website and platform. It also outlines how you can access or correct your information and make inquiries or complaints about our privacy practices.

By using Aris Detect, you agree to the collection and use of your information as described in this Policy. We encourage you to read this document carefully. If you do not agree with any part of this Privacy Policy, you should discontinue use of our services.

Types of Personal Information We Collect

We collect a range of personal information necessary to provide and improve our services. This includes:

Identity and Contact Information: Names, email addresses, and (if applicable) business or company name. We also collect property addresses which may be linked to individuals.

Property Photos: Aerial and ground-level photographs of properties that you upload. These images may inadvertently include identifiable individuals if they appear in the photos.

Image Metadata and Device Information: Metadata embedded in your uploaded images or captured via your device. This can include the date and time the photo was taken, GPS location coordinates, and details about the capture device.

Location and Property Details:Information about the property's location and characteristics that you provide or that can be inferred from the images, such as the structure's type, age, building materials, dimensions, and roof condition or damage.

Platform Usage Data: Information about how you interact with our platform, such as login times, actions taken, and preferences. This may include technical logs and analytics data such as IP addresses, browser type, and operating system.

All of the above information is considered personal information if it identifies you or any individual, or can be reasonably linked to an individual. We aim to only collect information that is reasonably necessary for our functions and activities.

How We Collect Personal Information

Aris Detect collects personal information in several ways, including:

Directly from You:We collect information that you and other users provide through our platform's interfaces, including data entered into forms and fields when setting up an inspection or generating a report, account information provided at registration, and any information you submit when contacting us for support.

Through Uploaded Images and Files: When you upload photographs or other files, we automatically collect any personal information contained in those uploads, including metadata such as geolocation or device info embedded in image files.

Via Third-Party Integrations: We may receive information through third-party services that you choose to integrate with Aris Detect. We only obtain such data with your authorisation and as needed to facilitate the integration or feature you are using.

Automated Means and Metadata: Our systems automatically collect certain technical data when you use our services, such as your IP address, browser type, device type, and operating system, as well as cookies and tracking data.

Cookies and Tracking Technologies

Like most online services, Aris Detect uses cookies and similar tracking technologies to ensure our platform operates effectively, to enhance security, and to improve your user experience.

Essential Cookies: We use session cookies to remember you as you navigate the platform. These are essential for login sessions and core functionality.

Security and Performance Tracking: Our platform employs certain cookies and tools to maintain security and performance, helping us detect and prevent unauthorised access, fraud, or other harmful activities.

Analytics and Usage Tracking: We may use analytics tools to collect information about how users interact with Aris Detect, in an anonymised or aggregated form.

Marketing and Advertising Cookies: Aris Detect uses third-party tracking technologies for marketing purposes, integrating with platforms such as Google Ads, Meta Ads, and HubSpot. We do not share personally identifying details with advertisers.

Use of Personal Information

We collect and use your personal information primarily to operate, support, and improve the Aris Detect platform. The main purposes include:

Providing Our Services: We use the information you provide to generate roof inspection reports and deliver the core functionality of our platform, and to create and manage your account.

Improving and Developing the Platform: We may use personal data to refine our services and develop new features, including training our damage detection AI models. Wherever feasible, we use de-identified or aggregated information for product improvement.

Customer Support and Communication: We use your contact details to communicate with you about support issues, respond to inquiries, and send service-related announcements.

Marketing (With Consent): Aris Detect may use your contact information to send you marketing communications, but only if you have consented or as otherwise permitted by law. You can opt out of marketing emails at any time.

Ensuring Security and Compliance: We use personal information to maintain the security of our platform and users, and to meet our legal obligations.

Aris Detect does not sell or rent your personal information to third parties for their own marketing or any other purpose.

Disclosure of Personal Information

Aris Detect may need to share your personal information with third parties in certain circumstances, in accordance with the Privacy Act:

Service Providers and Partners: We use trusted third-party companies to support our operations, including cloud infrastructure, email and IT services, analytics, and customer support platforms. These providers process information solely to provide their services to us.

Your Organisation and Authorised Users: If you use Aris Detect as part of an organisation, personal information relevant to your use may be shared with administrators or other authorised users in that organisation.

Third Parties You Choose to Share With: If you choose to download or send a report, or invite someone to view it, you are authorising the disclosure of the information in that report to that third party. Aris Detect itself does not directly send your personal data to external stakeholders unless you use a platform feature that does so at your instruction.

Legal Requirements and Protection: We may disclose personal information when required by law, or where necessary to investigate or enforce our agreements, detect or prevent fraud, or protect the rights, property, or safety of Aris Detect, our users, or the public.

Business Transfers: If Aris Detect is involved in a merger, acquisition, sale of assets, or restructuring, personal information may be transferred to the new owner as part of that transaction.

Aris Detect never sells your personal data to anyone.

Data Retention

Aris Detect retains your personal information for as long as necessary to fulfil the purposes for which it was collected, or as required or permitted by law. In practice, we keep your data until you choose to delete or archive it, so you have continuous access to your past inspection records and reports.

Archiving and Deletion: Within the platform, you can archive reports or data, a form of soft delete. If you wish to permanently delete specific personal data, you can make a deletion request and we will take reasonable steps to permanently erase or de-identify the information.

Backup and Legal Retention: Even when you delete data or close your account, some residual copies may persist in our backup systems for a limited time. Aris Detect may also retain certain information where required for legal, regulatory, or legitimate business purposes.

In line with Australian Privacy Principle 11, we take reasonable steps to destroy or de-identify personal information once it is no longer needed for the purpose for which it was collected, unless we are required by law to keep it.

User Access and Control of Personal Information

As an Aris Detect user, you have the right to access the personal information we hold about you, and to correct or delete that information as needed.

Accessing and Viewing Your Data: You can view the information and content you have provided by logging into your account. For a comprehensive export of your personal data, you can send us a request and we will compile it for you, usually within 30 days.

Editing and Correcting Your Data: If any of your personal information is inaccurate or out of date, you are entitled to have it corrected through your account settings or by contacting us.

Archiving or Removing Data: You can archive or delete inspection projects and reports via the platform. If the platform does not provide a way to delete something, you can contact us to request deletion.

Account Deactivation: If you wish to discontinue using Aris Detect, you can deactivate or delete your account by contacting our support team. Be sure to export any reports you want to keep before doing so.

Consent Preferences: Where we rely on your consent to process information, you have the right to withdraw that consent at any time.

We will respond to your request as quickly as possible, generally within 30 days. We may need to verify your identity before releasing or altering information.

Children's Privacy

Aris Detect is a business-oriented platform intended for use by adults in the roofing and insurance industries. Our services are not directed to children, and you must be 18 years of age or older to create an account or use our platform. We do not knowingly collect personal information from individuals under 18 years old. If you believe a child under 18 may have provided personal data to Aris Detect, please contact us so that we can investigate and address the issue.

We will treat all requests and complaints seriously and fairly, and aim to acknowledge your query generally within 10 business days and resolve the request within 30 days.

Changes to this Privacy Policy

From time to time, Aris Detect may update or modify this Privacy Policy to reflect changes in our practices, technology, or legal requirements. Your continued use of Aris Detect after any update will be taken as your acceptance of those changes.
